01Who is responsible
A+ Academy Limited is responsible for the personal information we collect through this website, our registration portal and our tuition services. This policy also covers feedback, billing and Maths Studio.
Contact admin@aplusacademytt.com or +1 868 270 9525. Our in-person classes are at 196 Eastern Main Road, Arouca, Trinidad and Tobago.
02What we collect and why
- Registration and class arrangements
- Student name, level, selected subjects, class format, starting month and scheduling preferences, together with a parent, guardian or adult student’s contact details, relationship and country. Optional school, exam year and learning goals help us plan suitable support. We use these details to review registration, confirm availability and communicate about classes.
- Payments and administration
- Invoices, payment amounts and references, payment confirmations or receipt images you send, billing contacts and class details. These help us reconcile payments, issue receipts and maintain financial records. The website does not collect card numbers or bank passwords. Please hide unrelated transactions and unnecessary account details in payment proof.
- Learning and communication
- Information you share with us about attendance, learning needs, progress or support requests, along with relevant messages and class materials. Please share only what is needed. Discuss sensitive learning or health information privately with the Academy rather than posting it in a review.
- Feedback
- Your chosen display name, role, review text, the teacher or service being reviewed and permission to publish. Submitted reviews are held for review; only approved reviews are displayed publicly. Avoid children’s full names and contact details.
- Website operation and security
- Short-lived session identifiers and submission records help protect forms and prevent abuse. Our hosting providers may process technical information such as IP addresses, browser details, request times and error logs to deliver and protect the service.
We also record the policy version and submission time when a new registration acknowledges these policies. Registration information is used to deliver and administer our services, not as automatic permission for public marketing.
03Children, parent consent and publicity
A parent or legal guardian must authorise tuition registration for a student under 18. Adult students may register for themselves. The person submitting the form must be 18 or over and authorised to provide the details.
Submitting a registration does not give us permission to publish a child’s name, photograph, video or testimonial. Publicity needs separate permission from the adult concerned or a child’s parent or legal guardian. Students under 18 need parent or guardian permission before submitting feedback.
You can contact us to withdraw permission for future publicity or ask us to remove material we control. Public posts may already have been copied or shared by others, so we cannot guarantee removal from other people’s accounts or search caches.
04Online classes, recordings and messages
Class materials remain in Google Classroom. Online meeting links and joining instructions are shared through the class arrangements. Google Classroom and meeting services have their own privacy terms.
Where an online class is recorded for catch-up, a recording may include participants’ display names, voices, shared work or images. The teacher should explain recording arrangements before recording begins. Recordings are for authorised class use and must not be reposted or shared outside the class. Contact us before the session if you have a concern about participation or recording.
WhatsApp enquiries and class communications use WhatsApp’s service. If you join a class group, other members may see your phone number, profile details and messages. Contact us directly if you need to discuss a private matter.
05Maths Studio and free activities
Google sign-in provides a basic profile, account identifier and verified email address. Maths Studio stores a hashed account identifier and your first name for its session. It does not store your Google password, email address or Google access tokens in that session, and does not gain access to your Gmail, Drive or Google Classroom. See Maths Studio privacy for more detail.
Studio practice progress, bookmarks and checklists stay in your browser on that device, separately for each Google account. They do not sync between devices. Signing out does not delete saved progress. Use “Clear this device’s learning history” or clear browser site data to remove it.
Past-paper quizzes can also save answers and progress in your browser. Free assessment answers stay on the page; if you choose to send an enquiry through WhatsApp, you decide whether to send the prepared message.
07Website activity and campaign links
We measure page views, clicks to open WhatsApp, PDF download clicks and Paper 1 quiz opens and completions to understand which resources and promotions are useful. The activity tracker collects the type of action, the public page or resource, the date and campaign labels such as source, medium, campaign and post name. A random identifier for each action helps avoid duplicate counts; it is not a visitor identifier.
Campaign labels are carried in links between Academy pages and the registration portal. For a new registration, those labels are saved with the private registration record so we can count a successful submission once and compare confirmed registrations by promotion. They are not used to make decisions about a student's eligibility. Recognisable referring services may be grouped, for example as Google or Instagram, without saving the referring URL.
The activity tracker does not collect names, email addresses, phone numbers, form answers, quiz answers or WhatsApp messages. We do not use analytics cookies, persistent visitor identifiers or cross-device profiles. No activity data is sent to Google Analytics or advertising platforms. Authorised Academy administrators see aggregate reports in our registration portal. Campaign labels should describe promotions, not people.
Optional tracking respects browser Do Not Track and Global Privacy Control settings. You can also browse with tracking off; that setting is carried through Academy links for the current browsing journey without setting a cookie. Opening a separate unmarked link later does not remember this choice. Registration, classes and free resources remain available either way.
Public activity records are reported for up to 365 days. Older activity records are removed during normal tracking activity. Campaign labels on a registration follow the retention arrangements for that registration. Technical infrastructure may still process request information needed to operate and protect the website. Blocking optional tracking does not stop essential form or security processing. For abuse prevention, we keep temporary request counters with network addresses transformed into hashes that change each time window. These counters are separate from activity tracking, do not store raw addresses or form contents and are pruned after expiry during normal requests. Server error logs use a random incident reference and general service category, without request bodies, sign-in codes or contact details.
09Keeping information and protecting it
We keep personal information for as long as needed for enrolment, teaching, communication, financial records or the resolution of queries and disputes. Some records may need to be retained to meet legal or accounting obligations. There is no single retention period for every type of record.
We use encrypted website connections and access controls for private records, along with session and form protections. No website or communication method can promise complete security. Please do not send passwords, identity documents or unnecessary financial or medical information through registration or feedback forms.
10Your choices and questions
Contact admin@aplusacademytt.com to ask what information we hold, request a correction or deletion, raise a privacy concern or withdraw optional publicity permission. A parent or legal guardian may contact us about their child’s information. Include enough information to locate the record, but do not email identity documents unless we agree on an appropriate verification method.
We may need to confirm your identity or authority before releasing or changing information. We will explain if a request cannot be fully completed, for example because a financial record must be retained. Withdrawing optional publicity permission does not end tuition. If you want to end classes, follow the withdrawal arrangements.
We will date policy updates on this page. A material change to how we use information will be explained before it applies where further notice or permission is needed.
